Executive Assistant - San Francisco

The firm is seeking a self-motivated, reliable, friendly, and detail-oriented Executive Assistant to join our very supportive and positive team working in concert with our San Francisco, CA office.  The Executive Assistant will schedule meetings, coordinate travel (post-shelter-in-place), process expenses, manage vendor relationships, and offer additional support to four executives, as needed.

To qualify for this position, you must have the ability to quickly learn and understand new procedures and software, follow instructions, and meet deadlines.  You must be a self-starter, a team player, and be highly resourceful. You must also possess excellent organization and oral communication skills. 

Consideration may be given to remote working (beyond shelter-in-place), if desired.

We are looking for a dedicated professional who can:

  • Provide scheduling, travel, and expense processing support to a team of four regional executives; areas of focus include:
    • Interfacing with internal and external audiences to schedule meetings
    • Managing the complex calendars of the executive team
    • Prepare/gather all documents necessary for executive meetings
    • Making travel and hotel reservations, including tracking airline credits and rewards programs
    • Preparing timeline expense reports and cash reimbursement requests
  • Research information about nonprofits and their leadership
  • Assist with NetSuite entry, ensure clean and current data
  • Edit and format documents as needed
  • Manage day-to-day operations of the office, including taking calls, interfacing with clients and CCS personnel, and responding to emails
  • Manage office vendor relationships
  • Maintain supplies and office equipment (service and supplies)
  • Perform administrative tasks as required, including copying, binding, and any other general office tasks
  • Develop and sustain a level of professionalism, among staff and clientele, consistent with the firm’s mission and values
  • Additional duties as assigned

We are looking for a person with the following attributes:

  • Prior experience serving as an Executive Assistant, or in similarly focused position
  • Proficient with MS Word, PowerPoint, Excel and Outlook
  • High attention to detail
  • Deadline-oriented
  • Strong organizational, project management, and problem-solving skills
  • Ability to multitask effectively within normal time constraints
  • Friendly and professional demeanor
  • Ability to lift 25 pounds as needed
  • Experience with NetSuite or databases, Photoshop, Qualtrics, and Concur a plus
